1. Define the Campaign and Recipient
Start with how the product will be used. A compact desk fidget may suit a conference or employee kit. A mini fan may fit a summer campaign. An electronic or children’s product may require more detailed function, battery, labeling, shipping and compliance review.
- Trade shows and events: prioritize portability, fast distribution and visible branding.

- Retail and e-commerce: confirm barcode, labels, warnings, carton data and repeat-order requirements.
- Children’s or education programs: specify intended age, destination and sales channel before product selection.
2. Select a Practical Product Route

3. Send the Information That Changes the Price
A useful RFQ should include:
- Exact product link, SKU, reference photo or drawing.
- Quantity tiers and likely reorder quantity.
- Logo file, print colors, positions and target size.
- Product color and packaging requirements.
- Destination country or postal code.
- Required arrival date and sales channel.
- Requested documents, testing or retailer requirements.
The same-looking item can produce different prices when the material, size, logo method, packaging, inspection scope or freight assumption changes. Ask every supplier to state these items in writing.
4. Understand MOQ and Total Cost
Selected stock products may support logo orders from 50 pieces, while selected online offers are sold as 100, 200 or 500-piece bundles. Exact MOQ depends on the product, stock, branding method, color and packaging. New molds, structural changes and complex retail packaging use a separate development review.
A complete quotation may include the product, printing or setup charge, sample work, packaging, tooling, testing, carton data, freight and payment terms. Confirm whether a displayed price is per piece or a full bundle total.
5. Use Proofs and Samples as Approval Controls
- Confirm the product model, quantity, color and packaging.
- Approve the logo or packaging artwork proof.
- Approve the applicable blank sample, logo sample, packaging proof or prototype.
- Confirm the written production specification and schedule.
- Complete the agreed inspection and shipment checks.
Eligible stock-product logo samples may use a standard 3–5 day stage and eligible production may use 7–15 days after the required approvals. New molds, special colors, complex packaging, fresh testing and peak-season capacity are scheduled separately.
6. Review Compliance for the Exact Product
No general website statement can prove that every product complies with every market. Existing reports are relevant only when they match the exact model, material, version, age grade and destination. Fresh third-party testing may be required for a changed configuration or buyer program.

7. Compare Suppliers on the Same Scope
- Product version, material, dimensions and color.
- Logo method, print area and color count.
- Packaging, labels, warnings and carton requirements.
- Sample scope and approval reference.
- Inspection and quality-control scope.

- Testing and documentation responsibility.
- Payment terms and change-control process.
8. Prepare the First RFQ
